The message was clear, they needed an easier way to communicate exactly what they do, without launching into lengthy explanations every single time.

When customers don’t know what to call the solution they need, the first challenge isn’t delivering, it’s educating.

The solution: building a living knowledge base

1-800-Bizops knew that operating in a field where the value isn’t immediately understood means education becomes part of the sales process. They decided to build a comprehensive glossary to educate customers and clearly explain Bizops terms in a way anyone could understand. Since they're experts at building digital products and operations, they knew exactly what to do next.

The build process: from concept to launch

Step 1: User-centric design

1-800-Bizops decided to treat their glossary as a mini-product, and started by sketching designs in Figma, creating an easy-to-navigate, engaging resource. They prioritized simplicity, elegance, and—crucially—fun. After all, nobody enjoys digging through overly technical jargon.

Step 2: Content management foundation

To handle all their content, the team naturally turned to Airtable, a tool already central to their client projects and their offering. They customized their Airtable base with a sophisticated yet elegant organization, carefully structuring their base with fields for terms, categories, definitions, and cross-references to perfectly capture their unique approach to Bizops.

Step 3: AI-powered content creation

Using Airtable's built-in AI tools, 1-800-Bizops quickly drafted initial definitions that felt human, relatable, and just a bit playful. But in order to connect with customers, they poured their expertise and personality into refining each definition, adding personal insights, real-world examples, and insider tips. Nothing that they wouldn’t share with a friend passed the go-live filter.

Step 4: Building connected knowledge

The glossary wasn't just about individual definitions, it was about relationships. Naturally, specific terms will link to other terms and the team wanted to ensure that this was reflected in their glossary. The team developed an AI-driven approach to easily identify and link related terms, which makes navigation easy and intuitive for users exploring interconnected concepts. More than 1000 links were crossed-referenced between +200 term pages — this was only possible thanks to the architecture design and the data sync solution they conceived this project with from the start.

Step 5: The final layer: Whalesync

With their Airtable content management fully set up, it was time to sync everything to their beautifully designed frontend in Webflow. Whalesync’s real-time data syncing between Airtable and Webflow enables 1-800-Bizops to automatically sync content, relational links, and custom fields without missing a beat.

Each time the team needs to add a new term or make an edit to existing terms, updates are simple. The team edits the Airtable base and changes appear instantly on the live website, complete with proper cross-linking and formatting.
