Mailchimp and Salesforce integration
Whalesync syncs Mailchimp and Salesforce both ways. Salesforce contact fields fill your audience's merge fields, and unsubscribes and campaign results come back to Salesforce.
What you can do with Mailchimp and Salesforce
See who's still on the list before you follow up
Add an email status picklist to Salesforce contacts and sync the audience's Status into it, one way. When someone clicks unsubscribe, Mailchimp notifies Whalesync, and the contact in Salesforce shows it within seconds. Reps can tell who has opted out before they reach out, and which addresses Mailchimp has cleaned for bouncing.
Segment the newsletter on Salesforce fields
Sync Salesforce contacts into the audience, with fields such as customer tier and region in Mailchimp merge fields. Build segments on them or use them as merge tags, and the values follow Salesforce when a customer moves up a tier. A contact new to the audience arrives as transactional, stored but not on the marketing list; Whalesync subscribes only contacts whose record says subscribed, so set that just for people who opted in.
Report on email campaigns in Salesforce
Sync the audience's campaigns, one way, into Salesforce campaigns, with sends, opens, and click rate in fields you add to the Campaign object. Leadership then sees each newsletter in the same Salesforce reports and dashboards as the rest of the quarter. The numbers refresh on Whalesync's regular pass over Mailchimp, so they trail Mailchimp's own report, and the Salesforce user you connect needs permission to create campaigns.
Keep interest groups the same in both apps
Map a Mailchimp group category, such as the topics people pick on your signup form, to a multi-select picklist on Salesforce contacts. Account managers see what each customer asked to hear about, and when one asks for webinar invites on a call, ticking it in Salesforce adds them to that group in Mailchimp. Give both sides the same group names, since Mailchimp refuses one it doesn't have.

How to sync Mailchimp and Salesforce
Step 1: Pick Mailchimp and Salesforce
In Whalesync, click New sync and pick Mailchimp and Salesforce as the two apps.
Step 2: Connect your Mailchimp audience
Choose the Mailchimp connector, click Authorize, sign in to Mailchimp, and pick the audience to sync. One connection reaches one audience, so a second audience needs a connection of its own. You can paste a Mailchimp API key instead of signing in, but keys created after June 22, 2026 expire a year later.
Step 3: Connect Salesforce
Sign in through the Salesforce connector and approve Whalesync's access to your org. Whalesync can sync what the Salesforce user who signs in can see, so an admin is the safest choice. The org needs API access, which Enterprise, Unlimited, Performance, and Developer editions include and Professional gets only as an add-on. To rehearse on test data first, tick Use sandbox before you sign in.
Step 4: Pair the tables and set each field's direction
Pair the audience's Contacts with Salesforce Contacts, or with Leads if the audience is mostly prospects, and its Campaigns with Salesforce Campaigns if you want email results in Salesforce. As each pairing opens, Automap has an AI model suggest field pairs from their names and types, without reading any contacts. Check what it paired, make sure Email maps to Email, and map the rest by hand.
Whalesync can add merge fields to the audience but can't add fields to Salesforce, so create any custom fields there before you map them. Set Status to sync one way, from Mailchimp into Salesforce, unless your Salesforce data records who agreed to marketing email.
Step 5: Match contacts on email and activate
If contacts already exist in both apps, choose to find and link matching records, and match them on email. Matching is exact, so "Avery@heronbay.org" won't match "avery@heronbay.org". Mailchimp keeps one contact per address and needs an address for every contact, so a second Salesforce record with the same email, or one with none, is reported as a sync issue. Choose which app wins where matched contacts disagree, then activate the sync.
3 ways to connect Mailchimp and Salesforce
-
Mailchimp for Salesforce
Best when you want email activity logged on each Salesforce lead and contact, and an hourly update is enough.
- Built by Beaufort 12, which handles setups made since May 2024 (Mailchimp)
- Mailchimp data reaches Salesforce about hourly, and Salesforce edits only update existing members (Beaufort 12)
- From $25 a month per org, for up to 10,000 audience members (Beaufort 12)
-
Zapier
Best when you want one event to start one step, like a Salesforce lead for each new subscriber.
- Triggers such as New Subscriber and New Unsubscriber, each Zap running one way
- No two-way sync, by Zapier's own help center
- Each action a Zap completes counts against a monthly task allowance (Zapier)
-
Whalesync
Best when contacts are edited in both apps, and an unsubscribe has to reach Salesforce before the next sales email.
- Contacts both ways and campaigns into Salesforce, each field one way or both
- Sends no email, and subscribes only contacts your data marks subscribed
- Priced by records in sync, however often your audience changes

Frequently asked questions
Does Mailchimp integrate with Salesforce?
Yes. Mailchimp's integrations directory lists Mailchimp for Salesforce, an app built by Beaufort 12 that you install in your org. Zapier links the two with one-way Zaps, and Whalesync syncs contacts both ways and campaigns into Salesforce. The comparison above says which suits which team.
How do I sync Salesforce contacts to a Mailchimp audience?
Pair Salesforce Contacts, or Leads, with the audience's Contacts table, and match them on email on the first sync so no one is added twice. A Mailchimp connection is one audience; a second audience is a second connection. Deleting a contact in Salesforce archives it in Mailchimp, and Whalesync never deletes a Mailchimp contact for good.
Do Mailchimp unsubscribes sync to Salesforce?
Yes, once you map Mailchimp's Status to a field on the Salesforce contact or lead. Whalesync can't add Salesforce fields, so create a picklist there first, with Mailchimp's statuses (subscribed, unsubscribed, transactional, cleaned, and pending) as its values. An unsubscribe from Mailchimp's link, or one made in Mailchimp, reaches Salesforce within seconds.
Will syncing Salesforce to Mailchimp email my contacts?
No. Nothing Whalesync writes sends an email: it never sets a contact to pending, which would send Mailchimp's confirmation email, and campaigns are read-only. New contacts arrive as transactional, and a contact is subscribed only when the record you sync says subscribed, so reserve it for people who agreed to hear from you. See the Mailchimp docs.
Can I sync Mailchimp contacts to Salesforce leads?
Yes. Pair the audience's Contacts with Salesforce Leads instead of Contacts. Salesforce needs a last name and a company on every lead it creates, so map merge fields to both, or a contact missing one is reported as a sync issue instead of becoming a lead.
Is the Mailchimp Salesforce sync real-time?
Partly. Contact changes made in Mailchimp, by your team or by the subscriber, reach Salesforce within seconds by webhook; tag changes, campaign numbers, and edits other tools make through Mailchimp's API wait for Whalesync's regular pass. Salesforce sends no change notifications, so its edits arrive on the next scan, which reads every synced object again and takes longer on a large org.
