Airtable and Google Sheets integration

Whalesync syncs Airtable and Google Sheets both ways. Pair each Airtable table with a tab in a spreadsheet, and records added, edited, or deleted in either app change in the other too.

What you can do with Airtable and Google Sheets

Purchasing

Paste a new price list into a sheet

Keep the catalog in Airtable, where each arrangement's cost rolls up from the stems in it. When growers send new prices, paste them into the cost column of the synced sheet in one go. Whalesync writes each changed cost to its Airtable record, and every rollup that uses it recalculates in the base.

Syncs Stems
Each row is a stem in the Airtable catalog. A cost pasted here is written to that record, and Airtable's own rollups recalculate.
Scheduling

Let tutors log sessions without opening the base

Coordinators book sessions in Airtable, and tutors who never open the base work from a shared sheet instead. A tutor enters the hours and marks a session done on its row, and Whalesync writes both to the session's record on its next pass over the sheet. The coordinator's views and reports in Airtable pick the change up from there.

Syncs Sessions
Rows are records from the Sessions table in Airtable. Hours and Status entered here are written back to those records.
Client services

Share one view with a client, not the whole base

Sync a single Airtable view, such as one client's confirmed events, to a spreadsheet that client can open. Only records in the view reach the sheet, and a record that drops out of the view drops out of the sheet. The client types the final headcount on each row, and it lands on the event's record in Airtable.

Syncs Events
Only records in an Airtable view filtered to this client's confirmed events sync here. Headcount entered in the sheet is written to the record in Airtable.
Operations

Move from a spreadsheet to Airtable without a cutover day

Build the new base while the team keeps working in the sheet it knows. If the sheet was already imported into Airtable once, match its rows to those records on a field such as SKU at the first sync, so nothing is duplicated. From then on, stock counts entered in either app reach the other, and the sheet can be retired whenever the team is ready.

Syncs Products
These Airtable records were matched to the sheet's rows on SKU at the first sync, and On hand stays the same in both apps.

Step-by-step guide

How to sync Airtable to Google Sheets in 5 minutes

Step 1: Create a new sync

In Whalesync, click New sync. If you don't have an account yet, sign up first.

Step 1: Create a new sync

Step 2: Authorize your apps

Choose Airtable and Google Sheets as the two apps. Connecting Airtable opens Airtable's own consent screen, where you grant Whalesync the bases it may use. Include the base that holds the tables you want in the sheet.

Step 2: Authorize your apps

To connect Google Sheets, copy the spreadsheet's URL from your browser's address bar, paste it in, and click Authorize. Sign in with a Google account that can edit the spreadsheet, and pick a spreadsheet that no other sync uses.

Step 2: Authorize your apps

Step 3: Map your tables

Add a row for each Airtable table and the tab it should sync with. To send only some of a table's records, pick one of its views instead of the whole table. If the tab doesn't exist yet, choose Create new table, and Whalesync adds it to the spreadsheet. A table with linked record fields needs the table it links to mapped too.

Step 3: Map your tables

Step 4: Map your fields

Automap gives an AI model the names and types of the fields on each side, never your records, and it suggests which ones go together. Review its pairs and map the rest by hand. Create fields adds a column to the sheet for any Airtable field it doesn't have yet.

Step 4: Map your fields

Here a linked record field is mapped to a link column in the sheet, which holds the IDs of the rows it points to. Airtable Record ID and Airtable Created Time are read-only, so they sync into the sheet one way. Format each number, percent, and date column in the sheet as that type, header cell included, so it syncs both ways.

Step 4: Map your fields

Step 5: Activate sync

If the table and the tab both hold records already, Whalesync asks you to pick a field to match them on before it activates. Choose one that's unique and identical in both apps, such as an order number, so existing pairs are linked rather than copied again. A preview then shows how many records will be added and updated in each app.

Before the sync starts, Whalesync lists what to watch for: Airtable's Free and Team plans cap API calls each month, the sheet's first row has to stay where it is, and Sort sheet is safe to use where Sort range is not. Click Confirm to turn the sync on.

Step 5: Activate sync

The sync is now active. Change a record in Airtable or a row in the sheet, and the other app follows.

3 ways to connect Airtable and Google Sheets

  • Airtable's Google Sheets import

Best when you're moving a sheet into Airtable once and won't keep editing the sheet.

    • Built into Airtable on every plan, under + Add or import (Airtable)
    • A one-time copy: later edits stay in the app they were made in
    • An automation trigger adds new sheet rows to a table, but not edits to them (Airtable)
  • Zapier

Best when you only need new Airtable records added to a sheet as rows, in one direction.

    • A Zap copies one way; Zapier doesn't support two-way syncing
    • Checks for new data every 15 minutes on the free plan and every 2 on Professional (Zapier)
    • Every completed action counts toward the plan's tasks
  • Whalesync

Best when both the base and the sheet get edited, and each has to show the other's changes.

    • Every table and tab you pair, in both directions, in one sync
    • Sync a whole table, or just the records in one Airtable view
    • Priced by records in sync, however often they change

FAQ

Frequently asked questions

Can Airtable sync with Google Sheets automatically?

Not on its own. Airtable's Google Sheets import copies a sheet into a base once, and its automation trigger only adds new rows. Whalesync keeps a base and a spreadsheet in two-way sync, so records created, changed, or deleted in either app reach the other without anyone exporting a file.

How do I sync Airtable with Google Sheets?

In Whalesync, connect Airtable and choose the base, then paste the link to your spreadsheet and sign in to Google. Pair each Airtable table with a tab, or have Whalesync create the tab, map the fields, and turn the sync on. The step-by-step guide below walks through each screen.

Is the Airtable Google Sheets sync two-way?

Yes. Text, numbers, dates, selects, and linked records sync in both directions. Airtable formulas, rollups, lookups, and other computed fields can't be written to, so they sync one way, into the sheet, as their values.

Is the Airtable to Google Sheets sync real-time?

From Airtable, nearly: Airtable notifies Whalesync when records change, and Whalesync fetches those records right away. Google Sheets sends no notifications, so Whalesync rereads the spreadsheet every few minutes, and a sheet edit reaches Airtable after the next read, which takes longer on a large sheet.

Can I sync an Airtable view to Google Sheets?

Yes. Choose the view when you pair the table, and only the records in it reach the sheet. A record that leaves the view is removed from the sheet unless delete protection holds it. Changes to the view's own filters apply on Whalesync's next full scan of the base.

Can I keep formulas in a synced Google Sheets tab?

Not in the rows Whalesync syncs. When it writes a change into a row, it writes values, and a formula in that row can be replaced by its result. Put formulas on a separate tab that refers to the synced one.
